In 2020, Pacific Trellis fruit became the exclusive marketer and distributor of the KISS line of melons.

POSITION SUMMARY:

Under the direct supervision of the Sales Director, Senior Sales Executive, or the Sales Executive, the Sales Administrator plays a critical role in supporting the sales team by managing order processing, customer communication, and providing administrative support. This position requires excellent organizational skills, a high level of attention to detail, and a proactive, customer-focused approach. The Sales Administrator will handle order entries, inventory management, and invoicing, as well as maintain e-commerce platforms to ensure smooth sales operations. Success in this role requires strong communication skills, the ability to multitask, and effective collaboration with internal teams.

Work Location: Onsite, Tucson, Arizona Office

ESSENTIAL RESPONSIBILITIES:

  • Provide support for sales activities, including order entry, pricing, invoicing, and communicating price sheets.
  • Manage order processing and tracking across relevant e-commerce platforms (e.g., iTrade, Procurant) to support office sales.
  • Oversee and resolve trouble reports, ensuring accurate system entries and escalating issues as necessary.
  • Collaborate with Accounting to verify invoice details, freight charges, and protections align with customer PO forms or vendor portals.
  • Maintain accurate customer account data through regular updates and data management.
  • Generate and analyze revenue, inventory, and unit movement reports to support sales and category performance analysis.
  • Prepare commercial performance reports, including Decofrut, to inform business decisions.
  • Build and sustain strong cross-functional relationships to facilitate and execute operational and strategic initiatives.
  • Maintain and update customer order guides, including any required menu adjustments.
  • Partner with Accounting to address customer billing inquiries and provide daily invoicing support for the office.
  • Coordinate and communicate sales activities effectively with other support departments.
  • Manage incoming office calls, providing prompt assistance and support as needed.
  • Distribute aged inventory reports to relevant Category Managers for commodity tracking.
  • Maintain records of protection costs and assist with supporting sales documentation.
  • Order and manage office supplies, ensuring availability for daily operations.
  • Organize and bind presentations for sales visits and other deliverables.
  • Maintain both physical and digital filing systems, including platforms like Microsoft Teams.
  • Perform other duties and projects as assigned.

MINIMUM QUALIFICATIONS:

Education and Experience:
Any combination of education and experience that is likely to provide the required knowledge, skills, and abilities for this position will be considered. Typically, this includes:

  • Bachelor's degree, or equivalent work experience in Business Administration, Agriculture, or a closely related degree from an accredited institution is strongly preferred.
  • 1 year of direct or related experience in sales support, customer service, or inside sales, with proven experience in key account support and order management.
  • 1 year of experience in the fresh produce industry or agriculture sector is strongly preferred.

Salary: Compensation will be determined based on experience and other job-related factors, as permitted by applicable law.

Base Salary Range: $60,000 - $80,000
