Summary of Responsibilities:

Responsibilities:
Reporting to the VP of Sales & Marketing, this role supports the sales and brand growth aspirations through:
Order Entry
- Accurate and timely enter new order entry into Famous ERP including PO’s, shipping, and delivery dates, freight costs, and order instructions.
- Manage orders across multiple customer platforms (e.g., Procurant, ITrade, E2Open, OFX, Retail Link) and future systems to ensure no orders are missed.
- Manage business utilizing phone, email, Teams, electronic portals, cross functional collaboration, and facility visits.
- Order changes including last minute involving cross functional communication to problem solve and find best solution for customer and company.
- Constant monitoring of emails making sure orders are not missed and handled in a timely manner.
- Troubleshoot mis shipped orders, incorrect data, system/database problems.
- Standard order and system order updates including but not limited to packaging updates for promotions ensuring costs are correct and operations knows what to pack.
- Judgement and communication. Make sound decisions utilizing SOP’s, knowledge and sound problem solving.
Customer Communication
- Notify buyers of non-shipped orders and confirm next steps.
- Notify buyers of any potential issues with their orders and help solve problems.
- Other as needed and directed by sales team or VP of Sales & Marketing.
Other Duties
- Submit weekly customer compliance forms on Monday’s.
- Monitor customer item management compliance to ensure company adherence
- Manage Repositrak Compliance for select customers and others not covered by Food Safety.
- Support new customer system setup.
- Track and correct transactional errors, example: include but not limited to ASN, invoicing etc.
- Support Accounts Receivable by addressing initial issues and aging accounts prior to escalation.
- Process and document rejection notices – communicate cross functionally regarding customer rejections including typing notices, gathering feedback from operations, food safety, logistics and sharing with sales account manager as well as documenting for ongoing file.
- Process ASN’s (until transitioned to another department).
- Manage freight on PO’s (until transitioned to another department).
- Review and distribute BOL’s daily.
- Ship samples for sales and marketing purposes. Occasionally, you will be required to travel to company facilities and drop off items at FedEx or other shipping providers.
Customer Performance
- Support Sales Account Managers by monitoring merchandising reports and providing feedback on account activity based on the information provided. Also includes following up with merchandisers as needed to ensure clarity, provide guidance and offer direction
- Provide support as needed by creating and delivering customized PowerPoint presentations for sales account managers and business development managers

Position Overview

Expectations:
- Qualified candidate will have 3 years or more relevant produce distribution experience.

Position Title: Maintenance Planner/ Scheduler - Parts Manager

Summary:
The role will involve coordinating and planning by utilizing an internal CMMS system to help facilitate maintenance activities such as repairs, preventative maintenance, and capital project support in a collaborative effort to ensure equipment safety, equipment uptime and support operations. This role will require leadership skills to manage the Parts department and team members tasked with everyday transactions such as, cycle counting, check outs, parts kitting, purchasing, and inventory control. Will require to work closely with local vendors and suppliers to mediate parts needs, establish company expectations to highlight service rendering and prioritize business needs as warranted.
Primary Work Assignments
- Thoroughly understand and support best maintenance practices which include planning, prevention, and data gathering. Monitor maintenance KPI’s and establish communication with team members to inform health of department and/or suggested process changes if needed.
- Managing and mastering internal CMMS system to generate and execute preventative maintenance schedules, preventative maintenance instructions, planned repairs, parts kitting, and inventory control.
- Monitor/ report on department budget and spend. Ensure proper communication and parts control as deemed necessary. Review MIN/ MAX levels, identify high volume parts, manage accordingly.
- Establish strong work relationships with local vendors. Ensure ethics compliance is understood and vendors/ suppliers clearly understand and follow company policies, expected service rendering, as well as purchasing process to promote transparency of finances.
- Data analysis and report trending of equipment repairs, breakdowns, parts spend, etc is serviceable as needed.
- Company policy regarding food safety and personal safety is practiced accordingly and rendered in each maintenance task or repair.
- Root cause analysis and preventative measures. Work with colleagues and leadership for problem resolution and long-term solutions including recommendation for capital expenditures.
- Assess and train employees on key job functions, particularly for the Parts Clerk team. Focus efforts on improving integrity of parts ordering, part transactions, organization of parts, and inventory accuracy.
- Responsibility for coverage of the Maintenance Manager responsibilities in their absence.

Job Requirements:
- Bachelor’s Degree with a related focus
- Experience in Maintenance. World Class Maintenance and Maintenance Planning/ Preventative training a plus.
