A well- established, family-oriented Harvesting Company is seeking a qualified, bilingual (English/Spanish) HR/Food Safety Executive Assistant with a strong background in food safety, worker safety, and human resources compliance. The ideal candidate will assist in overseeing food safety programs, employee training, regulatory compliance, and HR functions, ensuring adherence to company policies and state/federal regulations. The Food Safety/HR Executive Assistant will work closely with foremen, supervisors, and upper management to ensure that all food safety, HR and worker safety protocols are followed.
This is a full-time position, Monday through Friday with occasionally Saturday.
Responsibilities:
- Assist in implementing and overseeing food safety and worker safety protocols, ensuring compliance with GAP, OSHA, and other regulatory standards.
- Help Conduct pre-harvest inspections and ensure machine sanitation, swabbing, and safety compliance for all crews.
- Assist in managing hiring, onboarding, and training of employees while maintaining accurate documentation.
- Coordinate and prepare for Food Safety and Worker Safety audits, ensuring timely documentation submission.

Under the direction of the HR Director/Safety Director:
- Administer workers’ compensation, report claims, and ensure injured employees receive proper care.
- Conduct investigations related to safety and compliance as needed.
- Help Monitor and maintain compliance with OSHA, DOT, and other safety programs, including updating required postings and maintaining training records.
- Print and log monthly safety and food safety training materials for documentation.
- Oversee I-9 compliance and maintain required records.
- Assist with insurance benefits administration and respond to employee inquiries.
- Prepare and maintain documentation for audits, inspections, and employee records.
- Conduct performance evaluations, when necessary, manage disciplinary actions, and assist with termination procedures.
- Coordinate meetings, prepare agendas, and maintain records for management and compliance audits.
- Must be available to work weekends as needed.
- Assist front office staff with foot traffic and employee inquiries related to HR, food safety, and safety.
- Support management with additional responsibilities as needed.
Qualifications:
- Knowledge of food safety, OSHA regulations, and workers’ compensation administration.
- Minimum Bachelor’s degree strongly desirable or equivalent experience.
- Strong leadership, communication, and organizational skills.
- Ability to work effectively under high pressure and meet deadlines.
- Ability to manage multiple responsibilities while maintaining compliance with policies and procedures.
- Bilingual (English/Spanish) required.
