Job Description: 

We are looking for a competent Engineering and Compliance Administrator in Castroville, CA to help with the organization and running of the daily administrative operations of the Western Precooling’s Engineering and Compliance Team. The ideal candidate will be a hard-working professional, able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.

In addition, this role will provide compliance support as requested to track PM (preventative maintenance) Services, enter data, compile data, and maintain compliance documentation. This position will work closely with the Western Precooling Service Shop managers’ distributing and updating PM reports and assist in the scheduling of a variety of PM activities to meet regulatory changes and company practices.

ESSENTIAL DUTIES AND RESPONSIBLITIEIS include the following as well as other duties and responsibilities that may be assigned:

  • Organize office and assist associates in ways that optimize procedures/ processes.
  • Sort and distribute reports in a timely manner.
  • Update and distribute reports-based PM Inspection services.
  • Create and update records ensuring accuracy and validity of information.
  • Monitor level of supplies and handle shortages
  • Resolve office-related malfunctions and respond to requests or issues.
  • Coordinate with other departments to ensure compliance with established policies.
  • Maintain trusting relationships with customers and colleagues.
  • Data entry and management of engineering documents utilizing maintenance software systems and spreadsheets.
  • Open services call for maintenance based on issues found during PMs.
  • Provide backup administrative support for the Castroville office.

REPORTING SCHEDULE REQUIREMENTS

  • Maintain and manage quarterly and semiannual calendar to manage relief valve replacement for WPS portable equipment and stationary locations,
  • Manage schedule for California air tank permitting.
  • Inform the Engineering manager regarding Critical Item findings, as necessary.
  • Semiannually generate report on PM inspections status.

QUALIFICATIONS

  • Working knowledge of office equipment

  • Analytical abilities and aptitude in problem-solving
  • Excellent written and verbal communication skills
  • Competence in MS Office

EDUCATION/EXPERIENCE

  • Experience with computer data entry, CMMS experience preferred.
  • Prior experience with city or counting permitting processes a plus.
  • Prior experience with PSM (process safety management) & RMP (risk management plan) experience or understanding desired.
  • Knowledge of Cal ARP (ammonia release prevention) or California regulatory experience or information management.

LANGUAGE SKILLS
Bilingual fluent in reading, writing, and speaking Spanish (Preferred)
