Position Summary:
We are seeking an organized, proactive, and detail-oriented Sales Coordinator & Administrative Assistant. In this critical role, you will manage essential administrative tasks, support sales activities, coordinate closely with logistics, accounting, procurement, and global teams, and ensure seamless communication and operations.
Key Responsibilities:
- Process passings, paperwork, and orders timely to ensure smooth operations, closely monitoring each order from start to finish. Ensure sales processes remain organized, streamlined, and efficient.
- Organize and maintain claim files and trouble files, handling documentation systematically.
- Act as a liaison between the sales department and logistics/accounting teams, ensuring accurate information flow and timely responses.
- Assist sales teams by addressing customer-facing inquiries and providing prompt support.
- Prepare detailed sales reports, manage CRM data, and maintain organized customer and vendor records.
- Collaborate with logistics to track shipments, handle shipping documentation, and promptly resolve delivery issues.
- Support accounting with invoicing, sales transaction reconciliation, monitoring accounts receivable, and resolving discrepancies.
- Organize internal and external meetings, preparing agendas, presentations, quotations, and materials.
- Provide proactive assistance on new and ongoing projects as needed.
- Handle incoming calls and emails professionally, directing inquiries appropriately.
- Provide comprehensive administrative support, including scheduling meetings, calendar management, travel arrangements, and correspondence management.
Qualifications:
- Bachelor’s degree preferred or equivalent experience.
- Minimum 2-3 years administrative or sales support experience, preferably in produce, agriculture, logistics, or related industry.
- Exceptional organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with CRM systems is a plus.
- Strong problem-solving skills, with a proactive and positive approach.
