Marketing Coordinator/Executive Assistant

Position Reports to: 
COO / VP of Business
Requirements: 

 

At least 1 year assisting high level executives. Candidate must be well spoken, well groomed have excellent organizational skills,  able to work independently handling multiple priorities, and  able to take charge of the executive's work life. Candidate must be highly proficient in and type 60 wpm. Bilingual/Spanish preferred.                                                     Highly proficient in Microsoft Office (Word, Excel, Power Point, and Advanced Outlook) Photoshop and Illustrator. Must have excellent English composition and writing skills and be able to travel several times a year. Must be very well organized and able to multitask.

Responsibilities & Duties: 
Executive Assistant Responsibilities:
  • Manage calendar and daily schedule for President, coordinating multiple activities .
  • Link with, Chief Operating Officer, corporate executives, management, and customers to coordinate meetings and confirm information for presentations and documents.
  • Organize executives and clients meetings/luncheon (in-house and off-site), planning all amenities.
  • Arrange domestic and international travel itineraries for President, Sales, Marketing, and Management.
  • Manage hectic calendars.
  • Handle numerous phone calls.
  • Manage confidential correspondence.
  • Verify and authorize expenditures related to travel expenses and accounts payables.

Marketing Coordinator Duties:

  • Work at the direction of VP Business Development to:
  • Take part in creating and managing company's social media campaigns.
  • Monitor social media daily.
  • Assist in maintaining and expanding website.
  • Create point of sale and collateral marketing materials.
  • Create and assemble Power Point presentations.
  • Maintain marketing department budget. 
  • Coordinate all aspects of trade shows:
    • Registration
    • Travel
    • Hotels
    • Meetings
    • Display design and installation
    • Graphics
    • On site logistics
    • Dining and entertainment
    • Booth selection

 

Education: 

 

  • Bachelor's degree preferred.
  • One year of executive level administrative experience.
