Job Description: 

Summit works with the majority of tree nut processors throughout California, the USA, Europe, Australia and Chile.  To ensure best results, we personally visit all of our processors’ facilities on a regular basis so we know and understand their manufacturing and packing capabilities. During these visits we can best match your company needs with these proven processors. Our dedicated staff ensures that your products arrive on time and with the proper documentation.

We are currently searching for a Customer Service Representative to join our team who must have Ocean Cargo experience (air freight does not qualify).

Your basic function as the Customer Service Representative will be to receive/process requests and complaints in an effective and timely manner. You will help track customer orders to make sure that we have the product needed, and that it is shipped and received in a timely manner, and maintain customer records.

Responsibilities & Duties: 
  • Ensure timely processing for standard almond shipment once a contract is received, to the time orders are shipped, and documents received.
  • Communicate with packers to ensure product availability.
  • Ensure special shipment instructions are included, per customer requests.
  • Request booking either in house or through freight forwarder.
  • Prepare shipping instruction, booking confirmation and send details to the appropriate packer and customer.
  • Work directly with packers to ensure timely shipment of containers as scheduled.
  • Communicate post shipment details to forwarders/customers/AES as needed, and ensure timely receipt of documents.
  • Receive inquiries and complaints and conduct research to resolve matters in a timely order.
  • Write required information and additional information for each inquiry received in the appropriate spreadsheet, and make necessary notations to the file
  • Prepare the initial response to the customer and send notification to the packer requesting their findings.
  • Apply knowledge about company policies, procedures and pricing to best meet customer needs.
  • Process customer information on computer system in an efficient manner to provide quality service.
  • Analyze customer records on computer system, and make any corrections and/or modifications within company guidelines.
  • Write correspondence for customers in regards to their account status.
  • Contact customers to obtain missing information or data to ensure complete and accurate records, and review for accuracy.
  • Follow up with packer to ensure timely arrival of documents.
  • Send documents to 1) freight forwarder, 2) if in house, then to customer as deemed per the payment terms (direct to customer or to their bank).
  • Keep accurate notes as needed in the customer file regarding the various activities associated with the shipment.

Qualifications:

  • Export Ocean Cargo Experience a MUST! We export to over 70 countries!
  • Airfreight is not acceptable as a substitute for ocean freight.
