We are currently looking for an Executive Administrator to join our team in Salinas, CA.

As the Executive Administrator you are responsible for all administrative functions, including effectively assisting Directors, Vice Presidents and the Chief Executive Officer in the operations and strategic planning of the company. You are also responsible for providing high-level executive administrative support by scheduling meetings, coordinating travel, recording minutes for department meetings, and preparing agendas.

Requirements: 
  • Associates Degree
  • Bilingual in English/Spanish
  • Excellent administrative skills and relevant experience
  • Office management experience
  • Experience in project management
  • Analytical and decisive decision maker with the ability to achieve organizational goals
  • Excellent time management skills with strong ability to lead, plan, and manage change and culture
  • Proficient in Microsoft Office
  • Strong interpersonal leadership and communication skills (both oral and written)
  • Strong relationship building and management skills
Responsibilities & Duties: 
  • Manage day-to-day workflow of the President and Vice-Presidents of the Company
  • Draft correspondence and memos
  • Prepare memorandums for presentation to Managers
  • Follow up on every request made by the President and/or Executive Team
  • Draft, review, and prepare contracts/agreements, as required
  • Schedule attendance of conferences, workshops, meetings and trips, and maintain the President's calendar
  • Complete special projects and research, as assigned by the President
  • Prepare agendas, attend meetings and record minutes for department meetings
  • Attend and/or represent the company as needed at meetings, hearings, and other functions
  • Supervise and provide guidance and leadership to the Salinas payroll seasonal personnel, as needed
  • Coordinate vehicle availability for visits/ground transportation for Salinas area.
  • Prepare invoices and submits for payment
  • Order office supplies for the Salinas office
  • Coordinate flight, hotel and car rental reservations
  • Review statements for accuracy and process payments
  • Monitor and update memberships
  • Monitor, update and transfer Reward programs
  • Monitor vendors and new property purchases
